PocketKnife - Age Calculator

Calculate the age of a HubSpot object and use it as a trigger for an action through a workflow or for segmentation based on age.

The use 

With PocketKnife’s Age Calculator, you can calculate the age of a HubSpot contact, company or deal and use it as a trigger for an action through a workflow or for segmentation based on age.  

F.ex. to send an automated email to all contacts between 30 and 40 years. Or ask for evaluation after 1 year a deal exists. 

 

Setup in PocketKnife 

Make sure that you have access to your HubSpot portal. 

 

There is no setup needed in the PocketKnife app itself. The Age Calculator is available in your HubSpot portal from the moment you connect PocketKnife with HubSpot.  

 

How to use Age Calculator in your HubSpot portal? 

First you have to create a HubSpot workflow to calculate the age.

Choose on which object you want to use the Age Calculator. 

  • If you want to use the feature for a contact, make sure you create a Contact-based workflow.
  • For using it for a company, create a Company-based workflow.  
  • And if you want to use it for a deal, create a Deal-based workflow

 

The use case below is to calculate the age of a HubSpot deal.  

You can repeat the following steps for use cases contact-based or company-based. 

 

Create a HubSpot workflow to calculate the age 

But first create the property for the result of the calculation. Make it field type Number. And make sure you make the property on the right object (contact, company or deal).  In this use case we created the deal property: Age of the deal.

Create the deal-based workflow from scratch and choose Blank workflow 

 

Choose the Deal enrollment trigger based on a property with field type Date picker.  
In this use case: Create date is known + set Re-enrollment.

 

For the following step, choose workflow action Calculate Age

 

Fill out the Date property (1), the Unit (2), the Accuracy (3) and the Result property (4) + click Save to confirm 

(1) Date property = the property on which the age calculation will be based on. 
In this use case: Create date 
(2) Unit = choose how you want to express the age, per day, month or year
(2) Accuracy = the number of decimals the result may contain 
(3) Result property = the property that will contain the result of the calculation 

 

Add a delay + set the following action. In this use case we will send an automatic mail when the deal is 1 year. 

 

Congratulations

You just finish the setup to use the Age Calculator in your HubSpot account. 

 

Another use case can be the segmentation of contacts based on their age

Then you first create a workflow - that recurs annually - to calculate the age. The result property (the age of the person) can be used as a trigger in another workflow. F.ex. to send an automatic email to all contacts between 25 and 30 years. 

 

In your PocketKnife app the 20 most recent calculated objects will be displayed 

 

Consult number of objects calculated by AgeCalculator's

On the PocketKnife dashboard you can consult how many objects are calculated by AgeCalculator's.

The number allowed is depending on your subscription plan (Freemium, Single Feature, Pro or Entreprise). 

To upgrade your subscription plan, go to Subscription & Billing under the username of your account and choose the plan that fits your needs.
